Galas
- Anyone entering a gala using the online form accepts that there will be incurred expenses involved.
- Every gala requires entry fees for each race, but the swimmers must have certain times to be allowed to enter.
- Until these times have been checked, we cannot inform you of the races your child may be entered in to.
- There are 4 strokes each with at least 3 distances, that equals 12 races for every child that wants to do the gala(s) even if they don’t enter those races.
- After all the checks have been done can we contact you and provide you with possible races your child can enter.
- Once this has been agreed upon can we move to the next step.
- This must be done for all the children that registered for galas.
- The club provides an entry deadline and this is so we have time to input all the data that must be entered into a program that puts it in a file to be sent to the host swimming club.
- Now we can send in our entries to the host club.
- The host club provides everyone with an entry window (date and time). An opening time and closing date and time. For Example: 05-03-2023 9:00am. So, a gala can be full up in a few seconds.
- This is done by a scheduled email with the files attached
- At this point we do not know if we will be accepted as most galas work on a first come first served basis. Sometimes even after all the hard work we don’t get accepted and the process starts all over again for another one.
- When we receive notification from the host as to whether we have been accepted on not can we notify our swimmers that they have been accepted and into what races.
- If we are accepted then the host club will send an invoice to us which the club pays.
- Only after all this is done do we know how much everything is as not all races entered will be accepted.
- At this stage the club has paid hundreds of pounds for the entries. When we notify you how much it is, the club has already paid for your child’s races on your behalf and you are required to pay the club back.
- These are the conditions you are accepting when you enter the gala form, that there will be costs involved and you will pay the entry fees back to the club. You are also going to attend the gala (except in rare case of illness or accident)
- Even if you can’t attend or leave the club these entry fees must be repaid to the club.
